Projects Coordinator

Kier Services Maintenance is currently seeking a Projects Coordinator for our Longhurst and Havelok contract. The position will be based in Boston.

The prime functions of this post

To co-ordinate and schedule void repairs works and Promaster works from receipt of keys to handing back to ready to let, delivering in line with agreed timescales and KPI performance.
Liaising with other staff, raising and processing all associated paperwork and updating systems accurately to reflect true performance.
Support the Senior Operations Manager/Operations Manager/ Business Support Manager/Customer Services Team Leader/ Team Leaders to ensure that the business provides a customer focused service for all stakeholders involved in the contract.

Responsibilities:

Planning and Organising Work

Provide timely and efficient forecasting where work volumes may exceed resources available and take timely action to address the situation.
Contribute towards improved customer service, by ensuring that all agreed hand back dates are met and Staff, colleagues, customers are informed at all stages as appropriate.
Liaison and co-ordination with other relevant staff in agreeing Priorities of Voids and and back dates.
Responsible for raising all orders for Gas & Electric checks, general works orders, completions, variations, Re Charges, Decoration Vouchers and other tasks associated with the voids and Promaster process.
Input & Scanning of Associated Certificates onto systems.
Act as point of contact for the voids and Promaster works, dealing with enquiries in a timely and professional manner, including correspondence and the provision of reports.
Process Client orders from Servitor and schedule work out via I.T. software to field operative via PDA/mobile phone. Process all relevant documentation and create job / house files.
To co-ordinate through the relevant Team Leader the closure of orders upon completion.
Liaise with outside agencies, Client and Internal Departments to progress orders e.g. Longhurst and Havelok, Asbestos and Scaffolding.
Plan and confirm appointments with customers, operatives and supervisors, keeping the Client fully informed at all times.
Liaise with sub-contractors and other agencies before, during and after the associated works as required.
Ordering of materials, stationary etc using agreed and approved procedures as required.
To assist in the allocation of work to ensure that resources are fully utilised at all times.

Performance Management

Evaluate the quality of service and promote best practice and provide computerised performance monitoring information as necessary when required.
Produce a monitoring system for void and Promaster budgets and provide performance reports as required.
Provide various reports on Voids and works status, including performance monitoring of KPI Targets Vs Actual performance.
Assist in the assessment of suppliers and contractors in terms of price, product, quality, delivery and service and provide information to the Assistant Buyer.

Customer excellence

Actively promote Kier Maintenance and ensure all follow-up calls to customers are completed to ensure satisfaction with service provided when required.
Arrange access with tenants to carry out the necessary works and ensure customer satisfaction surveys are completed.
Ensure Technician contacts tenant prior to repair/works and completes PDA functions correctly at all times.
Monitor and maintain the Customer Complaints system.

Experience/Qualifications/Training etc (if any)

Experience of computer systems and work processing. (excel, servitor, email etc).

Previous experience within a similar role is essential.
